Welcome to SugarShot! During your welcome call we will introduce you to your Client Success Manager (“CSM”) who will guide you through your onboarding. You will also be introduced to our Leadership Team. We are excited to begin this journey with you.

PHASE / 02

Onboarding Project Kick-off

During the Onboarding Project Kick-off we will provide a high-level overview of the Onboarding Project, outline the various phases, what to expect, discuss timing, availability, important milestones, schedule dates and answer any questions you may have.

SugarShot begins the detailed Planning & Logistics Phase

PHASE / 03

Planning & Logistics

The Planning & Logistics phase is where the rubber meets the road.  It is during this phase that detailed project plans are worked out.  This phase also includes knowledge transfer from your current IT Service Provider (“ITSP”) and a sit-down with our portal administrator to create your customized Onboarding / Offboarding / Transfer (“OOT”) form and workflow.

PLANNING

  • Completed Employee Worksheet Template
  • Identify Departments and Unique Workflow and Application requirements 
  • Provide 3rd Vendor Information 
  • Signed 3rd Party Letter of Authorization 
  • Email Platform Access and Documentation 
  • Provide Any Network Diagrams and Other Documentation You May Have 
  • Provide Data Backup Plan Requirements If You Have Any 
  • Confirm VIP Contact List 
  • Optional – Establish temporary Centralized Password Management (“CPM”) so you can securely share necessary credentials with our Onboarding Team 

Outcome

When you have completed the Planning & Logistics Phase we will:

PHASE / 04

Procurement

During the Procurement Phase we will be ensuring that any equipment necessary for a successful onboarding is acquired before the on-site work begins.  Many onboarding don’t require any procurement.  Sometimes we need to procure equipment on our side as well.  The Planning & Logistics Phase usually runs in parallel with this phase.

Onboarding & Test

PHASE / 05

Onboarding & Test

We are finally here. During this phase, engineers will be on-site and at our Network Operations Center setting everything up.  It is also during this Phase that we true-up all the equipment and user counts (sometimes things change between when we did our assessment and when we do the onboarding).  If there are differences, a Change Order will be sent over from your CSM. In this phase we will also conduct essential training with your staff where everyone will learn how to best work with our team and get the most out of SugarShot.

TESTING

Tasks & Deliverables

  • Installation of:
    • Cybersecurity and monitoring tools 
    • Asset tags 
    • Necessary equipment
    • BDR device(s) (if you chose this option) 
    • Any other tools or systems that you agreed to 
  • Setting up back-end systems and testing to ensure that remote cybersecurity and monitoring is working properly 
  • BDR device(s) (if you chose this option) 
  • Any other tools or systems that you agreed to 

Surprising Discoveries

  • Don’t worry about changes during onboarding, they almost always occur.  We’ll just call them “surprising discoveries” like a hidden treasure trove of extra devices.
  • If we stumble upon something that’s not in the original plan, we’ll just ask for a written “permission slip” before proceeding.
  • At the end of onboarding, we’ll do a final reconciliation and make sure all the devices and licenses are accounted for.
  • If we accidentally onboard something you didn’t authorize, don’t sweat it, we’ll just “un-onboard” it like a bad date.
  • We’ll do our best to keep the dust to a minimum, but if a little bit sneaks through, just remember: a little dust never hurt anyone, and the end result will be “spotless” (see what we did there?)

When you have completed the Onboarding & Test Phase you will:
  • Have a more secure network
  • Be able to work with our Helpdesk and Network Operations team
  • Sleep better at night
